Workslayr’s Task Board offers a dynamic Kanban-style view designed to visualize your tasks and workflows. This intuitive layout helps your team track the progress of work items from initiation to completion, ensuring transparency and efficiency in project management.
Understanding the Kanban Board #
The Task Board organizes tasks into columns, each representing a stage in your workflow. For instance, common columns might include “To Do,” “In Progress,” and “Done.” This visual representation allows you to quickly grasp the status of all active tasks within a project.
You can easily move tasks between these columns by dragging and dropping them, instantly updating their status. This makes it simple for team members to communicate progress and for managers to monitor workloads and identify bottlenecks. The Kanban board provides a clear snapshot of your operational workflow, helping you manage client projects, internal initiatives, and even individual responsibilities effectively.
Key Features and Use Cases #
While the Task Board focuses on visualizing individual tasks, it is an integral part of your broader project management strategy within Workslayr. Each task on the board is typically associated with a larger project, contributing to its overall progress. For example, if you are working on a client project to develop a new website, a task card might represent “Design Homepage Mockup” or “Integrate Payment Gateway.” As your team completes these specific tasks, you can update their status on the Kanban board, providing real-time progress updates.
This functionality is particularly valuable when managing projects that involve multiple steps or team members. For a detailed understanding of how individual tasks fit into larger efforts, you can explore the comprehensive features of Workslayr’s Projects module, which allows you to create, track, and manage projects from start to finish.
Customizing Your Task Board #
Within your Task Board, you have the flexibility to add new stages (columns) or modify existing ones to perfectly match your team’s specific workflow. This customization ensures that the board accurately reflects your operational processes, whether you are managing client deliverables, internal development cycles, or other service-based workflows.
Remember that the Task Board is an operational tool, helping you manage the actions required to complete work. For agreements and formal arrangements with clients, Workslayr provides a dedicated Contracts module, where you can create, send, and manage all your contractual documents. This separation ensures that your operational tasks are streamlined while maintaining formal agreements.
By leveraging the Task Board, you gain valuable insights into your team’s productivity and project health. It helps streamline your work processes, allows for quick adjustments, and maintains clarity across all your active tasks.
Effectively managing tasks is crucial for project success and operational efficiency. In Workslayr, managing tasks involves organizing them into distinct stages on Task Boards. This process provides a clear visual pipeline of work, helping you track progress from initiation to completion for every project.
Understanding Task Stages #
Task stages represent the different phases a task goes through during its lifecycle. By defining these stages, your team gains a standardized workflow and improved visibility. For example, a typical workflow might include stages like “To Do,” “In Progress,” “Under Review,” and “Complete.” You can customize these stages to match your specific operational needs and project methodologies.
When you use Task Boards, each stage appears as a column, allowing you to easily drag and drop tasks between them as work progresses. This visual representation helps your employees quickly understand the status of their assignments and identify any potential bottlenecks.
Customizing Task Stages #
Workslayr allows for full customization of your Task Board stages. This flexibility ensures that the system adapts to your unique workflows rather than the other way around. You can add new stages, rename existing ones, and reorder them to reflect your preferred process flow.
For instance, if your business frequently handles client approvals, you might add a “Client Review” stage between “Under Review” and “Complete.” This level of detail ensures that every step of your process is accounted for and visible to relevant team members and clients.
Impact on Project Management #
The effective use of task stages directly contributes to better project management. By seeing which stage each task is in, project managers can:
- Monitor Progress: Instantly gauge the overall health and progress of a project.
- Identify Bottlenecks: Notice if too many tasks are piling up in a specific stage, indicating a potential slowdown.
- Allocate Resources: Understand where employees are focusing their efforts and reallocate resources as needed.
- Improve Communication: Provide clear status updates to clients without needing to ask individual team members for updates.
- Refine Processes: Analyze stage completion times to identify areas for workflow optimization.
This dynamic visibility helps prevent delays, improves team collaboration, and ultimately leads to more successful project outcomes. Workslayr’s comprehensive dashboard reports also leverage this data to provide deeper project analytics.
Workslayr offers filtering and viewing options for task boards and Gantt charts. These tools allow users to organize and display tasks based on various attributes. The available filters assist in focusing on pertinent information within projects.
Users can categorize tasks by properties such as their due dates or the employees assigned to them. This helps in managing individual workloads and overseeing the progress of specific project elements. Utilizing these options provides varied perspectives on project timelines.
Filtering Options #
Filters help narrow down the display of tasks. Common filtering criteria include:
- Due Date: Filter tasks based on their completion deadlines.
- Assignee: Display tasks assigned to a specific employee.
- Status: Show tasks based on their current status (e.g., In Progress, Completed, Pending).
- Priority: Filter by task priority levels.
- Client: View tasks linked to a specific client.
These filters can be combined to create a focused task view, allowing for efficient management of project components.
Viewing Options #
The system offers different ways to visualize tasks, such as board view or Gantt chart view. The board view provides a Kanban-style display for task statuses, while the Gantt chart provides a timeline-based perspective of tasks within a project.
Both My Dashboard and the Admin Dashboard might present summary views that incorporate task data. For details on how task data integrates into overall project management, refer to the Contracts documentation.
Workslayr provides Gantt charts for visualizing project timelines and task dependencies. This feature helps in tracking project progress and managing task schedules. Gantt charts are linked directly to your Projects and the tasks within them.
The Gantt chart displays tasks as horizontal bars against a timeline. The length of each bar represents the duration of a task. Dependencies between tasks are shown with connecting lines.
Accessing Gantt Charts #
To view a Gantt chart for a specific project:
- Navigate to the Projects section.
- Select the project you wish to view.
- Click on the ‘Gantt Chart’ tab within the project details page.
Gantt Chart Features #
Workslayr’s Gantt charts include several viewing and interaction features:
- Timeline Scaling: Adjust the timeline view to days, weeks, or months to review project timelines at different levels of detail.
- Task Dependencies: Dependencies between tasks are visible, indicating which tasks must be completed before others can begin.
- Progress Tracking: Task bars visually indicate completion status, allowing for quick assessment of project advancement. This aligns with overall Project Status & Progress.
- Resource Allocation: Employee assignments for specific tasks may be visible on the chart, aiding in employee workload management.
Gantt charts reflect the current status of your tasks and contracts, providing a visual representation of operational data.
Workslayr allows for the creation of public-facing Gantt charts and project task boards. These public views provide external stakeholders, such as clients or partners, with visibility into project progress without requiring direct system access.
Public Gantt charts and task boards display relevant project information. This can include task timelines, statuses, and assigned resources. This feature is useful for external project communication or for sharing progress with contractors.
To enable a public view for a Gantt chart or task board, toggle the “Make Public” option within the respective project settings. A shareable URL is generated upon activation. Access to this URL does not require a Workslayr user account.
Public views display specific project elements. These elements typically include:
- Task names and descriptions.
- Task start and due dates.
- Task dependencies (for Gantt charts).
- Progress indicators.
- Assigned employees or team members.
Public access can be revoked at any time by disabling the “Make Public” option in the project configuration. Disabling this option invalidates the previously generated public URL.
