Workslayr allows for the creation and management of Vendors. These are external entities from whom your company procures Products & Services. Creating a vendor enables you to associate purchases and Vendor Purchase Orders with a specific supplier record.
To create a new vendor, navigate to the Vendors Overview page and select the option to add a new vendor. The system will prompt for various details to establish the vendor record.
Vendor Information Input #
When inputting vendor information, you will encounter the following fields:
- Company Information: This includes the vendor’s legal company name, official website, and primary phone number. This data helps in identification and communication.
- Contact Person Details: Provide the name, email, and mobile number of a main contact person at the vendor company. This email is used for direct communication.
- Vendor Addresses: Input the vendor’s billing and shipping addresses. You can specify a default address for each type.
- Notes: Add any internal notes relevant to the vendor for your employees. These notes are for internal reference and do not appear on external documents. Vendor Notes & History are retrievable from the vendor profile.
After the vendor is created, you can access their profile to view and manage their associated Vendor Contacts, purchase history, and other relevant information. Workslayr allows for the management of multiple addresses for each Vendor. This enables tracking of different physical locations for ordering, billing, or other operational purposes.
When creating a vendor or editing an existing one, you can add and manage associated addresses. Each vendor requires at least one address to be saved.
Managing Vendor Addresses #
To access and manage vendor addresses, navigate to the specific vendor’s profile. You will find a section dedicated to addresses there.
- Each vendor can have multiple addresses. These addresses are used for various operational purposes within Workslayr, such as specifying delivery locations for Purchase Orders.
- When adding a new address, you will enter details including a label (e.g., “Main Office,” “Warehouse”), street, city, state, country, and postal code.
- You can set one address as the Default Address for the vendor. This address will be pre-selected in forms and modules unless specified otherwise.
- Addresses can be edited or deleted as needed. A vendor must always retain at least one active address.
Maintaining accurate vendor addresses supports efficient procurement and ensures proper routing of deliveries for products and services.

To add a new contact to a vendor profile, navigate to the specific vendor’s details page. Within the contacts section, select the option to add a new contact.
- Provide the contact’s name, email, and phone number.
- Specify the primary contact if multiple contacts exist for a single vendor.
- Designate contacts who should receive communications regarding products & services inquiries or order updates.
Managing these contacts is part of maintaining a complete vendor overview. Accurate contact information assists in streamlined communication, contributing to a clear vendor history.

Vendor Notes #
The Notes tab within a vendor’s profile allows users to add free-form text. These notes are visible to internal users with appropriate permissions.
Information that can be recorded here includes details about vendor interactions, specific terms of service, or any other internal remarks related to the goods or services provided by the vendor. This supports internal knowledge sharing, particularly for teams managing Vendor Purchase Orders.
Vendor History #
The History tab logs changes and activities associated with a vendor record. This log provides an audit trail of modifications made to the vendor’s profile.
The history includes records of when a vendor was created, edited, and by which employee. It can also track the association of vendor contacts. This functionality supports operational tracking, but is not designed for compliance reporting or external financial auditing, as detailed in the Operational Scope (Important).

To create a new purchase order, navigate to the Vendors section. From a specific vendor’s profile, a dedicated option is available to generate a purchase order. Ensure the vendor has associated addresses and contacts for accurate order details.
The purchase order creation form requires the following information:
- Vendor Selection: Choose the specific vendor from whom the purchase is being made.
- Items and Quantities: Add products or services to be purchased, specifying quantities and unit prices.
- Shipping and Billing Addresses: Define where the items will be shipped and the address for billing.
- Payment Terms: Set the agreed-upon payment conditions with the vendor.
- Order Date and Delivery Date: Specify when the order is placed and when delivery is expected.
Once created, the purchase order is saved within the vendor’s record, contributing to the vendor history. This enables administrators to maintain a detailed record of procurement activities. The system tracks the status of each purchase order, from creation to fulfillment.
