Managing Your Company’s Workforce #
Workslayr offers a robust system for managing your employees. As an administrator, you’ll have access to the Admin Dashboard, which provides high-level insights into your team, including total employees, attendance data, and HR-related analytics. Each employee also has their own My Dashboard, giving them a personalized view of their tasks, projects, and time logs.
The system distinguishes between individual employee data and aggregated company data, making it easy to drill down into specifics or view trends across your organization. For instance, you can monitor the Attendance Tracking of specific team members or review overall attendance statistics on the HR Analytics Tab of the Admin Dashboard. This duality ensures both individual accountability and effective administrative oversight.
Employee Profiles and Data #
Every employee within Workslayr has an Employee Profile Structure that houses all their essential information. This includes personal details, contact information, and critical employment data. When creating or editing an employee’s profile, you can define crucial settings, such as their eligibility to Clock In and Out Process and whether they can start a timer without first clocking in, a feature particularly useful for contract or freelance workers. This granular control over individual settings is part of the Clock-In & Timer Permissions.
Beyond basic details, Workslayr allows you to manage Employment Dates & Status, assign roles, and even set Employee Permission Overrides for specific individuals, granting them unique access levels beyond their general role assignments. The extensive customization options ensure that each employee’s profile accurately reflects their role and responsibilities within your company.
Accessing Employee Details and Analytics #
All employee records are accessible through the Employee Table & Filters, which allows administrators to search, sort, and filter through the employee directory. This table is where you can view, edit, or delete employee profiles, as well as manage their status.
Administrators also benefit from a detailed Employee Overview Dashboard that consolidates key metrics related to the workforce. This dashboard provides immediate access to information like the number of active employees, recent joinings, and attrition rates, aiding in HR planning. The various Employee Tabs Explained within each profile provide a structured way to manage different aspects of an employee’s record, from their personal information to their leave history and associated projects.
The Employees section in Workslayr provides a centralized hub for managing your team’s information. The Employee Table within this section is where you’ll find a comprehensive list of all your workforce members, along with powerful filtering capabilities to quickly locate and analyze specific employee data. This functionality is crucial for administrators and HR personnel to efficiently manage their team.
Navigating the Employee Table #
Upon accessing the Employees module, you are presented with a table view listing all employees. This table provides a quick glance at key employee details, making it easy to identify individuals and their core information. From here, you can initiate various actions such as viewing detailed profiles or managing specific settings, which are part of the broader Employees Overview.
Each row in the employee table typically includes essential identifiers that help you differentiate and keep track of your team. This consolidated view is designed to streamline your human resources management tasks within Workslayr.
Effective Filtering and Search Options #
Workslayr offers robust filtering and search options for the Employee Table, empowering you to quickly narrow down your results based on various criteria. This is particularly useful for larger organizations or when you need to focus on a specific segment of your workforce. Efficient filtering saves time and provides immediate access to the necessary employee data, which often links to their Employee Profile Structure.
To leverage these filters effectively, consider the following options:
- Search Bar: Use the search bar to locate employees by keywords such as name, email, or employee ID. This provides a rapid way to find a specific individual or a group with common attributes.
- Status Filters: Filter employees based on their current status, such as active, on leave, or probationary. This ensures you only view employees relevant to your current administrative task, whether it’s related to Attendance Tracking or managing Employment Dates & Status.
- Department/Team Filters: Organize and view employees by their designated departments or teams, allowing managers to focus solely on their immediate reports. This aligns with Workslayr’s operational focus, providing relevant data to the right stakeholders.
- Location Filters: If your company operates across multiple locations, you can filter employees by their assigned office or work site. This is especially handy for managing attendance or scheduling across different branches.
- Role Filters: Apply filters based on an employee’s assigned role and permissions within Workslayr. This can help in reviewing Employee Permission Overrides or understanding who has certain levels of access.
These filtering capabilities are integral to navigating your employee data efficiently, allowing you to access information pertinent to individual employees or specific groups, whether you’re checking their Clock-In & Timer Permissions or reviewing their performance on the Employee Overview Dashboard.
The Employee Profile Structure within Workslayr provides a centralized repository for employee data. This structure supports efficient management of individual employee information, permissions, and operational settings. The Employees section allows administrators to create and manage these profiles.
When creating or editing an employee profile, various fields are available for data entry:
- Personal Details: Includes basic identification like name, contact information, and relevant demographic data.
- Employment Information: This covers details such as hire date, job title, department, and salary. Information relevant to Employment Dates & Status is stored here.
- Permission Settings: Defines access levels and capabilities within Workslayr. This includes configurations for Clock In and Out Process and overall system permissions, along with options for Employee Permission Overrides.
- Operational Flags: Specific settings, like “Start timer without clock in,” control how an employee interacts with time tracking features. This functionality is detailed further in Clock-In & Timer Permissions.
The collected information populates various parts of the platform, including timesheets, project assignments, and client interactions. This data is also reflected in the My Dashboard for individual employees and the Admin Dashboard for comprehensive oversight, enabling features like Attendance Tracking.
Workslayr tracks various employment dates and statuses for each employee. This information is accessible and configurable within an employee’s profile. Tracking these dates facilitates workforce planning and reporting.
Key Employment Dates #
The system records several dates relevant to an employee’s tenure and status. These dates define employment start, end, and transitional periods.
- Joining Date: The day an employee officially starts with the company.
- Date of Birth: Used for internal record-keeping and notifications.
- Work Anniversary: Automatically calculated annually based on the joining date.
- Probation End Date: Marks the conclusion of an employee’s probationary period.
- Internship End Date: Marks the conclusion of an employee’s internship period.
- Date of Termination: The date an employee’s employment officially ends.
- Notice Period Start Date: The beginning of the employee’s notice period if applicable.
- Last Date: The employee’s final day of active employment.
Employment Status Categories #
Each employee is assigned an employment status. This status indicates their current working relationship with the company.
- Active: The employee is currently working. Active employees appear in reports and can log time against projects and attendance.
- Inactive: The employee is not currently working for the company but their records are retained. Inactive employees cannot log time or access certain features.
The employment status can be updated in the employee’s profile. Adjusting an employee’s status impacts their visibility and functionality within Workslayr, affecting areas like client assignments, invoicing, and expense reporting.
Workslayr manages employee time recording through configurable clock-in and timer permissions. These settings determine if an employee must clock in before logging time to projects or tasks.
Permissions are set when an employee profile is created or edited. This affects their experience on their My Dashboard and their ability to track time logs.
Configuring Clock-In Requirements #
The “Start timer without clock in” setting dictates whether an employee can bypass the clock-in function. This setting is part of the employee profile structure.
- If set to Yes, the employee can start a timer for any task or project directly, without needing to clock in first. This is suitable for roles that do not require continuous attendance tracking, such as contractors or freelancers.
- If set to No, the employee must use the “Clock In” button on their My Dashboard before they can start any timers. This enforces daily work presence recording for attendance tracking purposes.
Clock-In Process #
When an employee is configured to require clock-in:
- They click the ‘Clock In’ button on their My Dashboard.
- A pop-up prompts them to select their company location.
- They choose their working environment: Office, Home, or Other.
The ‘Clock In’ button is only available on the My Dashboard tab for employees with this requirement enabled. These permissions contribute to overall employee permission overrides and system functionality.
The Employees module provides access to individual employee information, with data categorized into specific tabs. This dashboard centralizes employee-related data for administrators.
Administrators can access the Employee Overview Dashboard from the main navigation by selecting the “Employees” tab. This view offers a summary of each employee’s status and key details within Workslayr.
The dashboard presents a table displaying all employees. This table includes relevant data points for each team member. Actions such as viewing or editing an employee’s profile are available directly from this table.
Each employee entry on the dashboard provides several data points:
- Employee Name: Identifies the individual employee.
- Role: Indicates the employee’s assigned role within the organization.
- Department: Shows the department the employee belongs to.
- Status: Reflects the employee’s current working status (e.g., active, on leave).
- Contact Information: Includes email and phone number for direct communication.
For more detailed information on specific employee settings and permissions, refer to Clock-In & Timer Permissions and Employee Permission Overrides. Additional insights are available through the Attendance Reports. The Employee Table & Filters allows for specific data segmentation and retrieval.
Each employee profile in Workslayr contains multiple tabs that organize specific information and functionalities. These tabs allow administrators and employees to manage various aspects of their work and data within the platform.
To access these tabs, navigate to the Employees section and select a specific employee from the employee table. The available tabs provide a structured view of an employee’s data.
Common Employee Tabs #
- Profile: This tab displays an employee’s personal and job-related details as configured in the employee profile structure. It includes data such as contact information, designation, and employment dates.
- Projects: View all projects an employee is assigned to, along with their roles and project-specific progress.
- Tasks: Access a list of all assigned tasks, their status, and deadlines.
- Attendance: Review an employee’s attendance records, including clock-in/out times. This tab is subject to clock-in & timer permissions.
- Leaves: Manage leave requests, approvals, and view leave balances.
- Timesheets: See detailed timesheets for logged hours, broken down by project or task.
- Invoices: This tab lists invoices associated with the employee, typically for reimbursable expenses or time-based billing.
- Expenses: Track and manage expenses submitted by the employee.
- Documents: Upload and store relevant employee documents.
- Contracts: Access any contracts associated with the employee.
- Tickets: View any support or internal tickets created by or assigned to the employee.
Each tab provides a specific data set or function relevant to the employee’s role and company operations. Access to certain tabs and their content may depend on employee permission overrides.
Workslayr allows administrators to apply specific permission overrides for individual employees, diverging from their assigned roles. This function enables granular control over access to features and data within the platform.
These overrides are configured within an individual employee’s profile. They are used when an employee requires different permissions than those defined by their default role permissions. Overrides ensure compliance with internal policies or specific operational needs.
When to Use Overrides #
Permission overrides are applied in scenarios where a standard role does not provide the exact access required for an employee. For example, an employee in a general role might need access to approve expenses, or a project manager might require elevated permissions for specific projects.
Common uses include:
- Granting temporary access to a module without changing an employee’s primary role.
- Restricting specific actions for an employee within their assigned role’s general permissions.
- Customizing clock-in and timer permissions for unique work arrangements.
- Modifying access to private employee tabs, like salary information, for specific administrators.
Setting Individual Permissions #
To set an employee’s permission overrides, navigate to the specific employee’s profile. Within the profile settings, there is a dedicated section for managing individual permissions. Here, you can adjust toggles for various modules and actions.
These modifications take precedence over the permissions inherited from the employee’s assigned role. This allows for precise control over an individual’s capabilities separate from their collective role.
Override Priority #
Individual employee permission overrides always take priority over role-based permissions. If an employee’s role grants access to a feature but an override restricts it, the restriction will apply. Conversely, if an employee’s role restricts access but an override grants it, the access will be granted.
This hierarchical structure ensures that specific, individual adjustments to permissions are enforced, regardless of broader role definitions.
