The Admin Dashboard provides administrators with a comprehensive overview of the company’s sales and lead generation activities. This dashboard is accessible only to users with administrative privileges.
Accessing Deals and Lead Information #
Navigate to the Admin Dashboard via the left navigation bar. Select the ‘Client Tab’ to view key metrics and visualizations related to leads and deals.
- Metrics displayed: Total Clients, Total Leads, Total Deals, Deal Conversions, Contracts Generated, Contracts Signed.
- Charts available: Client-wise Earnings, Client-wise Time Sheets, Deal Count by Stages and Pipelines, and Leads Count by Different Sources.
Filtering Deal and Lead Data #
Utilize the date selector at the top right of the Admin Dashboard to filter all analytics data, including deal and lead metrics, for specific periods. The ‘Deal Count by Stages and Pipelines’ chart includes a pipeline dropdown filter for more focused analysis.
Deal Conversion metrics are exclusively available within the ‘Client Tab’ of the ‘Admin Dashboard’. This tab is accessible only to administrators.
Client Tab Metrics #
The ‘Client Tab’ provides an overview of client-related activities, including deal conversion data.

Deal Conversion Charts #
The ‘Client Tab’ includes dedicated charts for visualizing deal performance.
- Deal Count by Stages and Pipelines: This chart displays the number of deals based on their current stage and pipeline. A dropdown filter allows administrators to select specific pipelines for analysis.
- Leads Count by Different Sources: This chart illustrates the origin of leads, providing insight into effective lead generation channels.
Configure and manage your sales infrastructure through Lead Settings.
- Navigate to ‘Settings’ and locate ‘Lead Settings’.
Lead Settings Configuration #
Define core elements for your sales process.
- Lead Source: Add, edit, or delete sources to track lead origins.
- Pipelines: Create pipelines, assign label colors, and configure deal stages. Stages can be reordered via drag-and-drop or position specification.
- Deal Agents: Assign employees as deal agents. Create categories to restrict agents to specific deal types. Agents’ categories and status (enabled/disabled) are manageable from a table view.
- Deal Categories: Create, edit, or delete various deal categories.
- Round Robin: Toggle this feature on/off for equitable and sequential distribution of tasks, such as leads, among team members.
Disabling the Leads Module #
Control the visibility and functionality of the Leads module.
- Go to ‘Module Settings’.
- Under ‘Admin and Employee settings’, disable the ‘Leads’ toggle switch.
- This action hides the ‘Leads’ tab and ‘Lead Settings’, and disables ‘Deals’ functionality.
The Kanban view organizes deals by their stages. This view allows for intuitive deal management.
- Access the Kanban view by clicking “Kanban” on the far right of the Deals page.
- Add new deals directly within this view.
- Add new stages to pipelines.
- Drag and drop deals between stages to update their status.
Kanban View Filtering #
Filter deals in Kanban view for focused management.
- Duration Filter: Select from ‘Today’, ‘Last 30 Days’, ‘This Month’, ‘Last Month’, ‘Last 90 Days’, ‘Last 6 Months’, ‘Last 1 Year’, or ‘Custom Range’.
- Pipeline Filter: Isolate deals belonging to specific pipelines.
- Product Filter: Display deals associated with particular products.
Configure Deal Pipelines and Stages #
Customize pipelines and stages to fit your sales process.
Navigate to ‘Settings‘ > ‘Lead Settings’ to configure:
- Create new pipelines.
- Assign unique label colors to pipelines.
- Define deal stages within each pipeline.
- Reorder stages by dragging and dropping or by specifying their position relative to other stages.
Deal categories organize deals and direct new leads to the appropriate employee. Custom categories can be added.
- Navigate to Settings > Lead Settings.
- Scroll to the Deal Categories section.
- Add a new category, for example, “Sales Onboarding” or “Information Request”.
Configuring Deal Agents #
Deal agents are employees assigned to specific deal categories, facilitating the assignment of leads.
- Navigate to Settings > Lead Settings.
- Scroll to the Deal Agents section.
- Click the ‘+’ button to add a new agent.
- Select an existing employee from the dropdown list.
- Assign a specific deal category to the selected employee.
Workslayr offers Estimates for clients and Proposals for leads. Once a lead becomes a client, only Estimates are available. Estimates and Proposals share functionalities, differing primarily in their target audience.
- Creating Estimate Templates: Access the “Estimates” section, then click “Estimate Template.” Use the ‘+’ button to define a new template, selecting products, adding a name and description. Saved templates appear in the “Estimate Templates” table.
- Estimate Template Actions: ‘View’, ‘Edit’, ‘Delete’, or ‘Convert’ an existing template into a client estimate.
- Existing Estimates: The table lists estimates with client, number, total value, valid until date, creation date, and status. Each estimate allows you to ‘View’, ‘Copy Public Link’, ‘Download PDF’, ‘Send’ to client, ‘Delete’, or ‘Duplicate’.
- Filtering Estimates: Filter by date range, status (‘Waiting’, ‘Accepted’, ‘Declined’, ‘Draft’, ‘All’), or use the search bar.
Invoices Management #
The “Invoice” tab, located under “Estimate,” provides tools for managing client invoices.
- Invoice Table: Displays invoices with details like project code, ID, client PO, project name, client, total, paid/unpaid amounts, date, and status.
- Individual Invoice Actions: ‘View’, ‘View PDF’, ‘Send’, ‘Edit’, ‘Cancel’ (if unpaid), ‘Copy Payment Link’, ‘Send Payment Reminder’, ‘Delete’, or ‘Duplicate’ an invoice.
- Creating New Invoices: Click the ‘+’ button. Select a client and optional project. Add products or new products directly.
- Details: Manage invoice/due dates, payment details, and tax-exempt status.
- Shipping Details: Select existing client shipping addresses or add new ones, including estimated shipping date.
- Notes & Adjustments: Add recipient notes, apply discounts, select tax rates, and include processing fees.
- Additional Information: Attach files and view custom fields.
- Saving: Choose ‘Save’, ‘Save and Send’, ‘Save and Mark as Sent’, or ‘Save as Draft’.
- Filtering Invoices: Filter by date range, client, project, status (‘Unpaid’, ‘Paid’, ‘Partial’, ‘Pending’, ‘Canceled’, ‘Drafted’, ‘Refunded’, ‘Partial Refunded’, ‘Pending Confirmation’), or billing type.
Recurring Invoices #
Create and manage invoices that automatically generate at set intervals.
- Accessing Recurring Invoices: Click the circular arrow icon on the invoices page.
- Recurring Invoice Table: Lists active and inactive recurring invoices with client, start date, next invoice date, total, and status.
- Actions: ‘View’, ‘Edit’, or ‘Delete’ recurring invoices. Option to ‘Export’.
- Creating New Recurring Invoices: Click the ‘+’ button.
- Details: Select products, client, optional project, and options for client control or showing shipping address.
- Billing Details: Set frequency (Daily, Weekly, Bi-weekly, Monthly, Quarterly, Half-yearly, Annually), start date (or immediate start), and total count of cycles (or -1 for infinite). An example schedule updates dynamically.
- Save: Save to activate the recurring invoice.
Configure lead pipelines and their respective stages to manage sales processes effectively.
Accessing Lead Pipelines and Stages #
- Navigate to Settings.
- Select the Lead Settings tab.
- Locate the Pipelines subsection.
Managing Pipelines #
The Pipelines section allows you to define and organize different sales processes. Default stages include Generated, Qualified, Initial Contact, Schedule Appointment, Proposal Sent, Win, and Lost.
- Add new pipelines as needed.
- Customize stages within each pipeline.
Managing Deal Agents #
Assign specific employees to manage deals based on categories.
- Click the + button to add a new deal agent.
- Select an employee from the list.
- Assign a relevant deal category to the agent.
Workslayr differentiates between Proposals (for Leads) and Estimates (for Clients). Once a lead becomes a client, only Estimates can be created. Proposals are no longer an option.
- Templates streamline Estimate creation.
- Estimate Templates allow product selection, rich text descriptions, naming, and cart resets.
- Existing Estimate Templates can be viewed, edited, deleted, or converted into active Estimates.
- The Estimates table shows client, estimate number, total value, valid until date, creation date, and status.
- Individual Estimate actions include ‘View’, ‘Copy Public Link’, ‘Download PDF’, ‘Send’, ‘Delete’, and ‘Duplicate’.
- Estimates display line items, description, ‘From’ details, and ‘Billed To’ details.
- Filter Estimates by duration (start and end date), status (‘Waiting’, ‘Accepted’, ‘Declined’, ‘Draft’, ‘All’), or search bar.
Invoices Overview #
The Invoice tab lists all created invoices.
- The Invoice table displays project code, ID, client PO, project name, client, total, paid amount, unpaid amount, invoice date, and status.
- Individual Invoice actions include ‘View’, ‘View PDF’, ‘Send’, ‘Edit’, ‘Cancel’ (if unpaid), ‘Copy Payment Link’, ‘Send Payment Reminder’, ‘Delete’, and ‘Duplicate’.
- Creating a new invoice involves selecting a client, optional project, and products.
- Invoice creation sections:
- Invoice Details: client/project, invoice/due dates, payment details (offline), tax-exempt status.
- Shipping Details: select/add shipping addresses, estimated shipping date.
- Notes & Adjustments: recipient notes, discounts, tax rates, processing fees.
- Additional Information: file attachments, custom fields.
- Invoice save options: ‘Save’, ‘Save and Send’, ‘Save and Mark as Sent’, or ‘Save as Draft’.
- Filter Invoices by duration, client, statuses (‘Unpaid’, ‘Paid’, etc.), project, or billing type.
Recurring Invoices #
Recurring Invoices automate invoice generation based on a set schedule.
- Accessed via a circular arrow icon on the invoice page.
- The Recurring Invoice table displays client, start date, next invoice date, total, and status.
- Actions for recurring invoices: ‘View’, ‘Edit’, or ‘Delete’.
- Option to export recurring invoices.
- Creating a new recurring invoice involves:
- Selecting products and client details, assigning an optional project.
- Optionally allow clients to stop recurring invoices and show shipping address.
- Billing Details: set frequency (Daily, Weekly, etc.), start date (or immediately), total count (or -1 for infinite).
- Saving activates the recurring invoice.
